What Personal Information do we Collect?
We collect names, telephone numbers, email addresses and postal/property addresses.
Why we Need Your Personal Information
We need to know who we are dealing with and how to contact them to be able to carry out the survey/valuation, or provide pre-survey/valuation advice. In this case the basis for our processing of your personal information will be the "Contract Basis".
To perform surveys and valuations we sometimes need to know the names, contact information and addresses of other people involved with the property in question - for example sellers, estate agents and tenants. In these cases the basis for our processing of your personal information will be the "Legitimate Interest Basis"
How Long do we Keep Your Personal Information For?
Any personal information linked to a survey or valuation that we are instructed to carry out will be kept for at least 15 years, in case of any future complaint or legal claim.
In all other cases any personal information we collect will be held for no more than 6 years, although in most cases it will only be kept for a matter of months.
How is Your Personal Information Secured?
Personal information is held in digital form only and can be stored on our computers and/or online by reputable service providers (for example Microsoft). The information is protected by strong passwords and/or biometric security and only authorised people have access to the information.
Personal information is protected against accidental loss, destruction and damage by regular backups stored in multiple locations.
Disclosure of Your Data
We may on occasion be asked to provide information in respect of surveys/valuations to the Royal Institution of Chartered Surveyors, who are our governing body, so they may carry out audits/checks - this may include personal information.
In all other cases, unless required to do so by law, we will not share, sell or distribute any of the personal information we hold.
Your Rights
You have the right to access the personal information held about you, the right for it to be corrected, and, in some cases, the right to request that information be deleted or corrected. You can do this by emailing contact@searchlightsurveyors.com.
You also have the right to lodge a complaint with the Information Commissioner's Office, which is the UK's supervisory authority for privacy and data protection matters. You can do this via their website www.ico.org.uk.
